Deadline at risk

  • Write newsletter finishes at 12:00, right on its 12:00 deadline.
  • High priority
  • Medium priority
  • Low priority
  • Busy
  • Deadline

Didn't fit

  • Plan next week's videos (45 min)

Not enough time today. The longest gap left is 25 min.

The newsletter went first because of its noon deadline, into the first gap long enough for it. The three-hour edit was split around the podcast interview, and the planning session was left out with the reason, instead of being squeezed in.

Plan your own day

  • Type tasks the way you'd say them. Lengths, priorities and deadlines are read for you, and every guess is easy to fix
  • A realistic day, blocked out around your meetings and lunch
  • See what won't fit, and why, before the day starts instead of halfway through it
  • Add the plan to your calendar with one file, or copy it as text
  • Saved on this device, so tomorrow takes a minute

How it decides

The same rules every time, in this order. No guessing at what you meant to do first.

  1. 1Deadlines go first

Tasks with a deadline are placed before anything else, soonest first. Each one only goes where it can finish by its deadline. If there is no room, it lands in "Didn't fit" instead of quietly running late. A deadline earlier than your start time goes first thing, flagged.

  2. 2Then priority

Tasks without a deadline follow: high, then medium, then low. When two tasks tie, they keep the order you listed them in.

  3. 3The earliest gap that fits

Each task takes the first open gap long enough for it, inside your working hours and around your meetings and lunch. Nothing is double-booked, and your buffer is left after every task.

  4. 4Long tasks can split

With splitting on, a task over an hour that fits in no single gap is spread across the earliest gaps, 30 minutes or more at a time. It is only placed if all of it fits.

  5. 5What it assumes

A task with no length gets 30 minutes until you change it. A bare hour from 1 to 6, like "by 5", is read as the afternoon. Every guess shows in the list, so you can fix it.

  6. 6What it tells you

It never moves a meeting or shortens a task. When something doesn't fit, it says why, and it flags any deadline met with less than 15 minutes to spare, so you choose what gives.
